Overview

This policy explains how Yangu Systems collects, uses, shares and retains information when you use Yangu Office. It applies to account holders, their team members and visitors to our website.

This document is a draft template. Every PLACEHOLDER must be completed and the full text reviewed by qualified legal counsel before it is relied upon.

Personal information

• Identity and contact details: name, work email, job title, profile photo.
• Account data: authentication identifiers, role and permissions, preferences.
• Support correspondence you send us.

Business information

• Company name, size, industry and department structure.
• Workforce configuration: AI employee roles, tasks, approvals and workflows.
• Commercial metadata such as plan, billing contact and usage volume.

Uploaded files

Documents, SOPs, knowledge bases and other files you upload are processed to operate the features you use — training an AI employee, answering a command, or preparing a simulation. Files are stored under your organisation's account and are not used to train foundation models operated by third parties without your instruction.

AI conversations

• Prompts, commands and AI responses are stored so you can review history and audit decisions.
• Conversation content may be processed by AI model providers acting as processors under contract.

Calendar connections

If you connect a calendar, Yangu Systems processes event times, titles, attendees and availability solely to schedule and prepare work. Access can be revoked at any time from the integration settings and from your calendar provider.

CRM data

Where a CRM is connected, records such as accounts, contacts, deals and activity history are processed to power pipeline views, briefs and reporting. You are the controller of that data; Yangu Systems processes it on your instructions.

Analytics

• Product analytics covering feature usage, performance and errors, used to improve reliability.
• Aggregated and de-identified statistics may be used for product research.

Cookies

Cookies and similar technologies are described in the Cookie Policy, including the categories used and how preferences will be managed.

Data retention

• Account data is retained while the account is active.

• Backups are cycled on a rolling schedule and expire automatically.
• Records required for tax, accounting or legal defence are retained for the statutory period.

Data deletion

You can request deletion of your account and associated data at PLACEHOLDER — privacy@. On verified request, data is deleted or irreversibly anonymised within the timeframe stated in the completed policy, except where retention is legally required.
